Instructions for Opening and Using the Web Phone for the First Time

Installing the APP

  • Step 1: Access the Web Phone

    • Open a Web Browser:

    • Launch Chrome on your computer or mobile device.

    • Navigate to the portal using the link provided to you: yourphoneportalurl

  • Step 2: Log In to the portal.

    • Log In Screen: On the login screen, enter your username and password.

    • Log In: Click the "Log In" button to access the portal.

  • Step 3: Open your Web Phone

    • On the top right hand side, open the dropdown menu under “Apps

    • Select Web Phone

  • Step 4: Configure Initial Settings

    • Allow Microphone Access: The browser will prompt you to allow access to your microphone. Click "Allow" to enable the Web Phone to use your microphone for calls.

    • Set Up Audio Devices: In the settings or configuration section, select your preferred audio input (microphone) and output (speakers or headset) devices.

    • Allow Notifications: Make sure to allow notifications. This will allow your PC to pop-up a notification when you receive a call or message.

    • Configure Other Preferences:

  • Select Dial Pad

  • Dial a Number: Enter a phone number using the on-screen dial pad or select a contact from your contact list.

  • Initiate the Call: Click the "Call" button to start the call. Ensure your microphone and speakers are working correctly.

  • End the Call: Click the red phone button to hang up.

Explore Features

  • Contact List: Browse through your contact list to see your saved contacts. Add new contacts if necessary.

  • Call History: Check your call history to view recent calls. You can redial numbers directly from this list.

  • Voicemail: Access your voicemail to listen to messages. Set up your voicemail greeting if you haven't already done so.

  • Chat and SMS: Access your internal chat or SMS messages or start a new conversation.

  • Answering Rules: Explore other settings to customize your Web Phone experience. This may include adjusting call forwarding, setting up a do-not-disturb schedule, and more.

  • Greetings: Select the greeting you want to play when callers reach your voice mail, or create a new greeting

  • Settings: You can set up other preferences such as ringtone, call handling options, and notification settings according to your preferences.

Setting Up Your Web Phone as a Progressive Web App (PWA)

Setting up the Web Phone as a Progressive Web App (PWA) allows you to access it like a native app on your device and include it in your startup process. Here are the steps to install and set up the Web Phone as a PWA

For Desktop (Chrome Browser)

Once your Web Phone has started for the first time;

  • Click on the three-dot menu in the top-right corner of the browser.

  • And click install Web Phone

Follow the prompts to install the Web Phone as a PWA.

PIN your new Web Phone PWA APP:

Once installed, you will be promopted to PIN your Web Phone to the task bar. This is recommended for easy access to the APP

Setting Your Web Phone App to Start Automatically with Your PC

To have your Web Phone app start automatically when you boot up your PC, you need to add it to the start-up programs. Below are the instructions for Windows and macOS.

  • For Windows

    • Create a Shortcut: Find the Web Phone PWA shortcut on your desktop or in your Start menu.

    • Right-click the shortcut and select "Copy."

    • Open the Startup Folder: Press Win + R to open the Run dialog. Type shell:startup and press Enter. This will open the Startup folder.

    • Paste the Shortcut: Right-click inside the Startup folder and select "Paste." This will add the Web Phone shortcut to the startup programs.

  • For macOS

    • Create an Alias: Locate the Web Phone PWA in your Applications folder.

    • Right-click the app and select "Make Alias."

    • Open Login Items: Go to System Preferences by clicking the Apple menu and selecting "System Preferences."

    • Click on "Users & Groups."

    • Select your user account from the list on the left.

    • Click on the "Login Items" tab.

    • Add the Alias: Click the "+" button below the list of login items.

    • Navigate to where you created the alias for the Web Phone.

    • Select the alias and click "Add."

Additional Tips

Testing: Restart your computer to ensure that the Web Phone app launches automatically.

Management: If you ever need to remove the Web Phone from start-up, simply go back to the Startup folder on Windows or the Login Items on macOS and delete the shortcut/alias.

Adding Sites to Allow List to Keep Them Active and Bypass Memory Saver in Chrome

Chrome's Memory Saver feature helps reduce resource usage by putting inactive tabs to sleep. When you minimize your web phone, Chrome’s memory saver feature will temporarily deactivate the Web Phone, causing your web Phone to deregister and log you out, if you are an agent logged into call queues. To remain active and bypass this feature. Here’s how to add sites to the allow list:

  • Open Chrome Settings: Open your Chrome browser.

  • Click on the three-dot menu in the top-right corner.

  • Select "Settings" from the dropdown menu.

  • Navigate to Performance Settings: In the left-hand menu, click on "Performance."

  • In the General section, click on ADD next to Always keep these sites active

  • Select the Add sites manually option

  • Enter the Portal Link that was provided to you and click on add
